General information
This Privacy and Cookies Policy (the Policy) determines how TechZity Events, UAB (the Company or we) handles the personal data of visitors to this website and of persons submitting an enquiry (You).
The controller of your personal data is TechZity Events, UAB, legal entity code 304066506, registered office address Antakalnio g. 17, LT-10312 Vilnius, the Republic of Lithuania.
It is important that you read the Policy carefully: each time you visit the website or provide us with your personal information, you acknowledge that you have read the terms described here. If you do not agree to these terms, please do not use the website and do not provide us with your personal information.
The terms used in the Policy are as defined in the EU General Data Protection Regulation no. 2016/679 (GDPR).
The basis on which we process data
The Company processes personal data in accordance with the legal acts of the European Union and the Republic of Lithuania regulating the protection of personal data.
The grounds for processing are:
— Your consent, expressed in your active actions, that is, by submitting an enquiry and providing your data;
— Concluding and performing a contract — when a proposal is prepared, event terms are agreed or a venue rental agreement is concluded;
— The legitimate interest of the Company — ensuring the proper operation and security of the website, the quality of the services provided, and defending our rights and legitimate interests;
— Fulfilling our obligations under the law.
Enquiry form data
When you submit an enquiry through the website form, we process the following data: name, surname, email address, telephone number, preferred event date and the information about the event that you write.
This data is used only to answer your enquiry, prepare a proposal and agree the terms of your event. We do not use it for profiling or automated decision-making.
We retain enquiry data for as long as is necessary to process the enquiry and prepare a proposal, as well as for the limitation periods for bringing or defending claims, but no longer than 24 months from the last correspondence. If the event takes place, contract-related data is retained for the periods set out in legislation (contracts — 10 years, invoices — 8 years).
Direct marketing
We do not send newsletters or marketing messages through this website and do not collect data for that purpose. Should such a possibility arise in the future, it would be based on your separate, explicit consent, which you could withdraw at any time.
Visiting the website
The website is static and uses no analytics, advertising or tracking tools whatsoever. We do not collect data about which pages you viewed or where you came from.
Technical server logs (IP address, request time, browser type) are created briefly on the side of the website hosting provider and are used only to ensure security and operational stability.
Cookies
Cookies are small text files that your browser stores on your device. This website does not use cookies of its own — neither analytical, nor advertising, nor functional.
The single exception is the Google Maps map embedded on the Contacts page. Once it loads, Google may store its own cookies and receive your IP address in accordance with its own privacy policy, which we do not control. If you prefer to avoid this, do not use the map — the address and a link are provided separately next to it.
You can manage and delete cookies in your browser settings. Please note that deleting cookies may slow down browsing or restrict certain website features.
Data processors and recipients
For certain functions we engage service providers who act as data processors and receive only as much data as is necessary to provide their service:
— Vercel Inc. — website hosting and content delivery;
— Resend (Plus Five Five, Inc.) — forwarding enquiries by email to the event coordinator;
— Google Ireland Ltd. — displaying the map on the Contacts page.
Enquiry data is passed to the event coordinator and, where necessary, to the Company's partners directly involved in delivering your event (for example, catering or technical equipment suppliers) — only to the extent required to prepare a proposal or run the event.
We do not sell personal data and do not pass it to third parties for marketing purposes.
On the grounds and in the cases provided for by legislation, we must pass your personal data to the national supervisory authorities.
Transfers outside the European Economic Area
We process data within the European Union. Please note that certain technical data (for example, IP address, browser settings) may be processed by or made available to entities operating outside the European Economic Area, where hosting, email or map services are used whose providers are established in the United States.
To ensure an appropriate level of data protection, we conclude the Standard Contractual Clauses approved by the European Commission with such providers, or rely on other safeguards established by the GDPR.
Retention periods
We retain data no longer than is necessary to achieve the purposes for which it is processed, and in accordance with the document retention requirements set out in legislation.
Longer retention is possible where:
— it is necessary for the Company to defend itself against claims or lawsuits and exercise its rights;
— there are reasonable grounds for suspecting illegal activity which is the subject of an investigation;
— the data is necessary for the proper resolution of a dispute or complaint;
— it relates to backups and the maintenance of information systems;
— in other cases provided for in legislation.
Your rights
To the extent and under the conditions laid down by law, you have the following rights:
— to access your personal data and how it is processed;
— to require the correction of incorrect, inaccurate or incomplete data;
— to require the deletion of your data or the restriction of its processing, where the data is processed in breach of legal requirements or where there is another legal basis;
— to require the transfer of your data to another controller or to receive it in a form convenient to you;
— to object to processing where it is based on legitimate interest;
— to withdraw consent at any time, where data is processed on the basis of consent.
How to exercise your rights
To exercise the rights listed above, submit a written request to us in person, by mail, through a representative or by electronic means. The request should include your name, contact details, which right and to what extent you wish to exercise, and how you would like to receive a response.
When executing your request, we have the right to verify your identity. We will respond no later than one month after receiving your request and completing verification. Depending on the complexity and number of requests, we may extend this period by a further two months, notifying you accordingly.
If you believe that your data is being processed unlawfully or that your rights are being infringed, you have the right to contact the State Data Protection Inspectorate (vdai.lrv.lt) and submit a complaint. Before submitting a formal complaint, we recommend contacting us — most questions are resolved faster that way.
